Title: Executive Assistant
Description: Little Bee Books is currently recruiting for an organized, ambitious, and quick-learning Executive Assistant to join our team. The executive assistant will be responsible for providing administrative support directly to the CEO, and at times, to other senior leadership at the company.

The Executive Assistant will be responsible for directly supporting the CEO with administrative tasks including scheduling meetings, maintaining calendars, booking travel, sending packages, creating PowerPoint presentations, greeting office guests, office management, and more.

The Executive Assistant will also be chiefly responsible for managing various systems and processes in the office, such as the electronic sign-in kiosk, the employee intranet database, and interoffice email distribution lists, among others.

What You’ll Be Doing:
•Maintain a clean, orderly, and welcoming office space, including re-filing books in company library
•Coordinate distribution of sales materials
•Maintain meeting calendars and conference room schedules
•Act as point person for building management, office security, and cleaning
•Prepare daily, weekly, and monthly stock and sales reports to send to the CEO
•Liaise with the building superintendent and Human Resources Manager on matters such as fire safety, office security, appliance and systems maintenance, and pest control
•Provide new hires with access to company systems and assets, and assist the Human Resources Manager with the general on-boarding process
•Monitor usage of office supplies and reorder as needed; minimize spending where possible
•Respond to phone calls and emails on the main company line, and direct concerns or solicitations to the appropriate point of contact within the company
•Schedule meetings and dinners during major book fairs, such as BookExpo America, Bologna Book Fair, and Frankfurt Book Fair
•Track expenses for the CEO and for general office needs; complete expense reports and file invoices as needed
•Assist the Human Resources Manager in organizing company events, such as the annual Summer Party and holiday Party, and various in-office social mixers
•Book all travel for CEO and senior management
•Oversee cleaners and cleaning budget
•Perform other duties as requested or assigned
Requirements: What You’ll Bring to the Table:
•Previous office or internship experience, publishing preferred
•Bachelor’s degree or college course work and knowledge gained through equivalent work experience
•Strong organizational skills and ability to multitask efficiently
•Strong written and oral communication skills
•Ability to work independently and be a strong self-starter
•Ability to think creatively and problem solve
•Ability to work quickly and decisively in a fast-paced environment
•Proficient in Microsoft Office
