Title: Exhibits Specialist (Hybrid)
Description: Princeton University Press (PUP) seeks a skilled multi-tasker who is detailed-oriented, organized, and possesses a passion for on-the-job learning, books, publishing, and academia. The Exhibits Specialist will report to the Chief of Higher Education Sales and Marketing (CHESM) to plan, oversee, coordinate, and administer the budget for the conference exhibits program (virtual and on-site events) that PUP attends. Princeton’s publishing program encompasses annual representation at 55+ academic conferences, trade shows, and festivals where PUP holds booth space, and approximately 140 additional events where PUP books are featured through combined publisher displays or advertising. The Exhibits Specialist plans and administers the marketing and promotion of PUP books at these events. This is a full-time position with comprehensive benefits with the ability to work a hybrid schedule, working in the Princeton office as needed for exhibits preparation.
Position Duties
• Learn on the job to possess an understanding of the purpose and content of PUP books.
• Manages the exhibits program (on-site events and virtual) at Princeton University Press, managing marketing and promotions at conferences.
• With guidance from the CHESM, prepares and manages the annual budget for the exhibits program. Maintains budget and budget changes throughout pre-planning, meeting execution, and post-conference reconciliation.
• Develops and executes the conference marketing plan for each book. Maintains and updates conference groups in the title management system and completes the conferences section of the marketing plan dashboard.
• Engages with the editorial department to confirm book lists and share the marketing plan for major shows.
• Attends 2 to 4 academic conferences or festivals per year to provide on-site representation and is on call for conference team members to troubleshoot concerns.
• Schedules and trains staff to work at conferences.
• Plans and manages author events/receptions at conferences.
• Manages production and design of conference advertising and marketing materials.
• Identifies new opportunities and leads for existing and new conference business development.
• Maintains exhibit schedule and detailed schedule on SharePoint and event calendar on website.
• Supervises intern and/or other staff supporting exhibits.
• Works with in-house support staff to organize materials shipping from the office.
• Handle all coordination and logistics, including event reservations, negotiating contracts, staff registration and travel arrangements, design submissions, oversight of shipping event materials, and training staff to handle booths, for the following exhibit types:
o Conferences attended by Press staff with a booth (on-site events)
o Virtual Conference Platforms
o Combined Displays (books and promotional materials to unstaffed displays)


Requirements: • A minimum of 3 to 5 year of experience in publishing with some knowledge of exhibits required.
• Prior experience with exhibits is a plus but not required.
• Ability to work a hybrid schedule with ready access to the Princeton NJ office for periodic work is required.
• Experience with Microsoft Office (Word and Excel), Adobe InDesign and Photoshop a plus.
• Degree from a four-year college or university, preferred but not required.
• Effectively engage and liaise with a diversity of individuals internally and externally.
• Demonstrable time-management, organizational skills, appreciation for detail and problem-solving skills.
• Proficiency across various modes of communication.
• Capability to interact appropriately and respectfully with others.
• Ability to adapt to changes in workload and to manage multiple tasks and deadlines simultaneously.
• Capacity to work independently for long periods of time.
• Strong sense of follow-through and confidence with independent work, and as part of a larger collective with common goals.
• Prior experience with title management systems (e.g., Biblio) preferred but not required.
• A positive outlook, and proactive and efficient approach to handling tasks in a busy department.

Base Salary: $55,000/year plus a comprehensive benefits package. Starting salary may be negotiable based on relevant skills and prior experience.
