Title: Editorial, Design, & Production (EDP) Assistant
Description: Position Overview:
The Editorial, Design, & Production (EDP) Assistant will provide administrative and data entry support across the editorial, design, and production departments. To be successful in this role you should be comfortable working with external vendors and other departments within the Press, possess strong time management skills to allow for timely completion of weekly/daily tasks, and be interested in learning how books are made.

This is a full-time, 35-hour/week position. MIT Press offers a hybrid work environment. This position can be fully remote, partially remote, or fully onsite. Please note there may be occasions where onsite work is required.


Principal Duties and Responsibilities:
• Perform initial review of final manuscripts to confirm they follow turnover guidelines/checklist
• Maintain CIP data application process for all titles with Library of Congress
• Request castoffs
• Enter and maintain EDP metadata fields in the Press’ internal title management database and in our distributor’s web portal
• Distribute “Look Inside the Book” assets
• Generate and distribute weekly reprint and on sale reports
• Process invoices from vendors and prepare purchase orders for new vendors
• Update P&Ls
• Coordinate moving physical books to the storage annex (this requires the ability to pack, sort, and lift boxes weighing approximately 25 lbs.)
• Additional tasks/projects as needed

Supervision Received:
The EDP Assistant will report to the Director of EDP and Publishing Logistics and will receive project guidance from EDP Managers and other EDP staff as needed.
Requirements: Qualifications & Skills:
EDUCATION: High school diploma or equivalent required.

EXPERIENCE: Minimum 3 years of administrative experience required.

SKILLS:
• Excellent written and verbal communication skills
• Familiarity with the Chicago Manual of Style, and knowledge of editing and proofreading a plus
• Ability to manage multiple responsibilities in a deadline-driven environment
• Excellent organizational skills and superb attention to detail
• Proven ability to work independently and collaboratively within a team
• Proficiency with Microsoft Word, Excel, Outlook, FileMaker Pro, and Adobe Acrobat
• Willingness to learn and use new software


PREFERRED EDUCATION AND EXPERIENCE:
• Associate’s/bachelor’s degree in a related field.
• Previous experience in a book publishing environment preferred.
