Title: Administrative Assistant - Guilford Press
Description: Guilford Press, a proudly independent academic/scholarly publisher of high-quality works in psychology, education, research methods, and related fields, for professionals and the general reader, has an excellent opportunity for someone who is looking to start a career in publishing and learn the crucial editorial and administrative processes involved in independent publishing.

Guilford seeks a candidate with strong time management, multi-tasking, and organizational skills, as well as computer literacy, to support our editorial acquisitions department and our journals department. This position reports directly to Guilford’s Editor-In-Chief and Guilford’s Managing Editor of Journals, and has responsibilities, and learning opportunities, in contracts, copyrights, permissions, title management, relationship building, and other important editorial and business functions for this long-standing independent publisher.

Responsibilities
• Manage, maintain, and track all correspondence and processes involved with copyright registrations and the Library of Congress cataloging-in-data process for Guilford’s books and journals, and assist in researching and securing copyrights and permissions for external materials.
• Manage Copyright Transfers for Journals authors. Collect and maintain Statements of Ownership.
• Input author and contract information into title management systems and manage physical author contract files.
• Maintain accessible systems for tracking editorial and business processes across internal departments and with external partners and government agencies.
• Collaborate widely across the organization—including with Acquisitions Editors and production, finance and operations departments--with an awareness of streamlining processes and fostering collaboration.
• Additional administrative duties within acquisitions and journals departments.

Work Arrangements
This position is based out of our New York City office (near Penn Station in midtown Manhattan). This is not a remote work opportunity. After training and successful performance, this position may allow for a hybrid work schedule of on-site work and remote work, however, being available for in-office projects and needs is a key component of this position.

Compensation
The pay range for this position is $40,000 to $42,000 annually. Requirements: • A minimum of one year of relevant experience, preferably in publishing.
• Strong time management, multi-tasking, and organizational skills, with a superb attention to detail and accuracy.
• Strong verbal and written communication skills, with an ability to collaborate across an organization.
• Ability to work independently and on a variety of projects simultaneously, while working well under pressure and meeting deadlines.
• Excellent skills in Microsoft Office, especially Word and Excel, with a willingness to learn and use new software and systems as required by changing technologies.
• Experience with Adobe and experience using and managing informational databases preferred.
• Interest in the subject areas we publish is a plus.
