Requirements: | Little Bee Books is seeking a highly organized and proactive Office Assistant to join our team. This entry-level position is an excellent opportunity for someone interested in learning the publishing business from the ground up.
Main Responsibilities: Administrative & Office Support • Manage calendars, schedule meetings, and coordinate travel for the executive team. • Handle company phone calls, email, and mail. Respond to inquiries and route correspondence appropriately. • Maintain office supplies, handle general office organization, and liase with cleaning staff. • File contracts, rights agreements, and correspondence. • Process invoices and expense reports. • Maintain office library. • Assist in coordinating company events. Editorial, Sales, Marketing & Publicity Support • Support mailing of advance reader copies (ARCs), F&Gs, and finished books to authors, illustrators, reviewers, media outlets, and booksellers. • Assist with author/illustrator events, trade shows, and conferences. • Create sales presentations and materials. Data & Systems Tasks • Update internal and external systems with title information, metadata, and schedules. • Generate sales and other ad hoc reports. • Support other departments with administrative tasks, data entry, and research as needed. Qualifications: • Bachelor’s degree from an accredited college or university preferred, or equivalent combination of coursework and relevant professional experience. • Interest in children’s publishing and a desire to learn the business. • Exceptional verbal and written communication skills. • Highly organized, detail-oriented, and proactive with strong problem-solving abilities. • Ability to manage multiple projects, set priorities, and meet deadlines in a fast-paced environment. • Comfortable working both independently and as part of a collaborative team. • Excellent interpersonal skills with the ability to communicate effectively with authors, vendors, and cross-functional teams. • Strong reading comprehension and an eye for detail in all forms of content. • Willingness to travel occasionally to trade shows, author events, and conferences. |
